Meeting Invitation Not Showing in Your Outlook Calendar

A meeting invitation is sitting in your inbox but never landed on your calendar.

Why: Outlook/Exchange can automatically place meeting requests on the calendar as Tentative before you respond, depending on account and automatic-processing settings. Your explicit Accept/Tentative/Decline response is a separate step. A missing entry can also be in another account’s calendar, hidden by the view, or delayed by sync.

Before responding again, check the invitation’s recipient account, date/time and selected calendar. Compare that account’s calendar in Outlook on the web. Check the calendar’s automatic processing options where your account/client exposes them, or ask the Exchange administrator to check processing. Menu names and policy controls vary; the absence of an RSVP is not proof that the invite cannot appear.

Step 1: Respond to the invitation

Open the meeting request in your inbox and choose one of:

Accept to add it to your calendar and show your time as busy.
Tentative to add it as a maybe (still shown on your calendar).
Decline to decline attendance. Depending on your client and settings, the request moves to Deleted Items and the calendar event may disappear, or remain as a declined/free event (see FAQ).

Classic Outlook may ask whether to send the response now, edit it first, or not send a response. Respond according to your attendance, then check the matching account’s calendar; an existing tentative entry can change status rather than being added for the first time.

Step 2: Respond from the calendar app on mobile

In Outlook mobile, open the request and tap Accept, Tentative, or Decline. In the calendar view you can swipe to select a response, then confirm.

Step 3: Recover a declined invite

If you declined by accident, open Deleted Items, find the original meeting request, and select Accept or Tentative. It returns to your calendar.

FAQ

Can I show declined meetings on my calendar? In new Outlook with a Microsoft 365 work or school account, go to Calendar > View > Calendar settings > Events and invitations and turn on Show declined events on your calendar. They appear with your time shown as free.

The invite has no Accept button. This can happen when an organization mail rule rewrites calendar messages. Ask the organizer to resend, or contact your admin.
