Meeting Invitation Not Showing in Your Outlook Calendar
A meeting invitation is sitting in your inbox but never landed on your calendar.
Why: An invitation only gets added to your calendar after you respond to it. Until you select Accept or Tentative, it stays an email. Declining removes it entirely. So the most common cause is simply that the invite hasn’t been answered yet.
Step 1: Respond to the invitation
Open the meeting request in your inbox and choose one of:
- Accept to add it to your calendar and show your time as busy.
- Tentative to add it as a maybe (still shown on your calendar).
- Decline to skip it. The meeting is not saved to your calendar, and the request moves to Deleted Items.
Outlook then asks how to reply: send the response now, edit it first, or don’t send a response. Pick one and the meeting appears on your calendar (unless you declined).
Step 2: Respond from the calendar app on mobile
In Outlook mobile, open the request and tap Accept, Tentative, or Decline. In the calendar view you can swipe to select a response, then confirm.
Step 3: Recover a declined invite
If you declined by accident, open Deleted Items, find the original meeting request, and select Accept or Tentative. It returns to your calendar.
FAQ

Can I show declined meetings on my calendar? In new Outlook with a Microsoft 365 work or school account, go to Calendar > View > Calendar settings > Events and invitations and turn on Show declined events on your calendar. They appear with your time shown as free.
The invite has no Accept button. This can happen when an organization mail rule rewrites calendar messages. Ask the organizer to resend, or contact your admin.
