Recall or Replace a Sent Email in Outlook (and Its Limits)
Recall pulls back a message you already sent — or replaces it with a corrected one — but only under narrow conditions, so set your expectations before you try.
Why it so often fails: Recall only works when both you and the recipient are on Microsoft 365 or Microsoft Exchange in the same organization, and the original is still unread. Messages to Gmail, Outlook.com, or any outside address can’t be recalled, and you can’t recall from Outlook on the web.
Step 1: Open the sent message
- In classic Outlook, click the Sent Items folder.
- Double-click the message to open it in its own window. Just selecting it in the reading pane won’t work — recall is only available on an opened message.
Step 2: Recall or replace it
- With the message open, go to the Message tab → Actions → Recall This Message. (On newer builds the path is File → Info → Resend or Recall → Recall This Message.)
- Choose one:
- Delete unread copies of this message — removes the original from recipients’ inboxes.
- Delete unread copies and replace with a new message — removes the original and lets you write a corrected version, which sends when you click Send.
- Tick Tell me if recall succeeds or fails for each recipient, then select OK.
Step 3: Read the Message Recall Report
You’ll get a Message Recall Report in your inbox per recipient. Open it to see whether the recall succeeded, is pending, or failed — a recall fails the moment the recipient has already opened the original or moved it out of the inbox.
FAQ
Can I recall a message sent to Gmail or a personal Outlook.com address? No. Recall only works inside one Microsoft 365/Exchange organization. Outside addresses keep the original.
Why did my recall fail even within my company? The recipient already opened it, has a rule that moved it to another folder, or is reading mail in Outlook on the web or on a phone — all of which block recall.
Is there an “undo send” instead? Outlook on the web and new Outlook have a brief Undo window after sending; classic desktop relies on recall (or a delayed-send rule you set up in advance).
