Check Free/Busy Availability with the Outlook Scheduling Assistant

You’re scheduling a meeting and need to find a time when everyone is actually free instead of guessing.

Why: The Scheduling Assistant overlays each attendee’s free/busy data on a single grid, so you can spot an open slot at a glance and avoid the back-and-forth of “does 2pm work for you?”

Step 1: Open the Scheduling Assistant

In classic Outlook for Windows, start a new meeting from the Inbox with New Items > Meeting (or press Ctrl+Shift+Q). On the ribbon, select Scheduling Assistant.

In new Outlook and Outlook on the web, create the meeting, then select the Scheduling Assistant tab at the top of the event.

Step 2: Add attendees and read the grid

Add people in the Required and Optional fields, or type a name in any blank row in the grid. As you add each person, their schedule fills in. The colors tell you their status:

  • Dark blue means the attendee is busy.
  • Light blue hashed means a tentative appointment.
  • Light gray is time outside their working hours.

A column with no color across all attendees is your open slot.

Step 3: Let AutoPick find a time

If you have several attendees and it’s hard to find a gap, select AutoPick and choose your criteria. Outlook jumps the meeting to the next time everyone (and any chosen room) is free.

Step 4: Book a room with Room Finder

Select the Room Finder button next to the location, or choose Browse with Room Finder at the bottom of the suggested locations. You can filter rooms by capacity, floor, and features your admin set up, and only available rooms appear.

FAQ

I see slashed lines instead of free/busy. That usually means Outlook can’t read that person’s availability, often because they’re external or their calendar isn’t published. You’ll see busy/free only for people in your organization.

Why do all attendees show as free even though I know they’re busy? Free/busy needs an Exchange or Microsoft 365 account. POP/IMAP accounts don’t publish availability.

Can I do this on my phone? Yes. Outlook mobile shows attendee availability and suggests times when you create a meeting.
