How to Set Up a Recurring Meeting in Outlook

You hold the same meeting every week and don’t want to create it from scratch each time.

Why: A recurring meeting sends one invitation that repeats on a schedule you set. Attendees get a single series on their calendar, and you can edit one occurrence or the whole run later.

Step 1: Create the meeting first

Set the subject, attendees, and the time for the very first occurrence as you normally would. The day and time you pick here become the pattern Outlook repeats.

Step 2: Turn on recurrence

In classic Outlook for Windows, select Meeting > Recurrence (or press Ctrl+G). The Meeting tab changes to Meeting Series once a pattern is set.

In new Outlook and Outlook on the web, select the Recurring icon (sometimes shown as Repeat) on the event.

Step 3: Choose the pattern and end date

In the recurrence window, set:

  • How often it repeats: daily, weekly, monthly, or yearly, and which day(s).
  • Range of recurrence: a start date plus one of No end date, End after a number of occurrences, or End by a specific date.

Select OK (or Save), then Send the invitation. Attendees receive the full series.

FAQ

How do I change just one occurrence? Open that single instance, make the change, and choose to update this event only rather than the whole series.

How do I edit the whole series? Open any occurrence and choose the series / all events when prompted, then resend.

Can I make an existing single meeting recurring? Yes. Open it, add a recurrence as in Step 2, save, and send the update.

One occurrence needs a different time. Drag just that instance to the new time, or open it and edit that event only. The rest of the series stays put.
