How to Add an Email Signature in Gmail

A Gmail signature is a block of text — name, title, phone, links — that Gmail can append to the bottom of your outgoing email automatically.

Why: Instead of typing your details on every message, you save a signature once and tell Gmail when to insert it. You can keep separate signatures for new mail and replies, and even a different one for each address you send from.

Step 1: Create your signature

  1. Open Gmail on a computer.
  2. Click the Settings gear (top right) → See all settings.
  3. On the General tab, scroll to Signature and click Create new.
  4. Name the signature (for example, “Work”) and click Create.
  5. In the box on the right, type your signature. Use the toolbar to change text style, add a link, or insert an image.

You can put up to 10,000 characters in a signature. Create more than one by clicking Create new again.

Step 2: Set when it’s added automatically

Just below the signature box are the Signature defaults:

  1. Under FOR NEW EMAILS USE, pick the signature for messages you start.
  2. Under ON REPLY/FORWARD USE, pick one for replies and forwards (or leave it blank).
  3. Optionally tick Insert signature before quoted text in replies so it sits above the message you’re replying to.
  4. Scroll to the bottom and click Save Changes.

Gmail now adds the chosen signature automatically. While composing, you can switch or insert one with the Insert signature (pen) icon in the toolbar.

Step 3: A different signature per “send as” address (optional)

If you send from more than one address using Send mail as, use the drop-down above the signature text box to select each address, then create a signature for it. If the drop-down isn’t there, add the address first under Settings → Accounts and Import → Send mail as.

FAQ

My signature isn’t showing on emails. Check the Signature defaults — if both are set to No signature, nothing is inserted. Set a default and Save Changes.

Can I add my signature on the phone app? Yes, but it’s separate. In the Gmail app, open Settings, choose your account, and set a Mobile signature (it doesn’t sync with the web one).

Why does my signature appear twice in replies? Usually because the quoted thread already contains an earlier signature. Ticking Insert signature before quoted text keeps yours cleanly at the top.
