Google Drive "You Need Permission" Error? How to Share Files and Grant Access
You open a Google Drive link and see “You need permission” or “You need access,” with a button to request it.
Why: Drive files are Restricted by default — only people the owner has explicitly added (or anyone the owner gave a link to) can open them. The error simply means your account isn’t on the access list yet. The fix depends on whether you’re the person trying to get in, or the owner who needs to let someone in.
Fix 1: Request access (if you’re trying to open the file)
- On the “You need permission” page, click Request access.
- Optionally add a note, then send. The owner gets an email and has to approve it.
- Make sure you’re signed in to the right Google account — access is granted to a specific account, so being logged into a personal account when the file was shared with your work account is a common cause of this error. Click your profile picture (top right) to check, and switch accounts if needed.
Fix 2: Grant access to a specific person (if you’re the owner)
This is the cleanest fix — share directly with the people who need it.
- In Google Drive, click the file or folder, then click Share.
- Enter the person’s email address (or a Google Group).
- Choose their access role:
- Viewer — can open and view, but not change or share.
- Commenter — can view and comment, but not edit.
- Editor — can open, edit, delete, and move files.
- Leave Notify people checked so they get the link, then click Send.
Fix 3: Change “General access” so anyone with the link can open it
Use this when you don’t want to add people one by one.
- Click the file/folder → Share.
- Under General access, click the dropdown (it usually says Restricted).
- Choose Anyone with the link, then pick the role — Viewer, Commenter, or Editor.
- Click Copy link to share it, then Done.
Anyone with that link can now open it without requesting access. Use Viewer unless people genuinely need to edit.
Fix 4: Fix or remove someone’s access later
To change a role or take access away:
- Open the file → Share.
- Find the person, click the dropdown next to their name, and choose a new role — or click Remove access.
- Click Save (or Done).
You can also tighten control by unchecking Editors can change permissions and share in the Share settings, or click Add expiration to give someone temporary access.
FAQ
I requested access but heard nothing. Only the owner can approve it. Email them directly — and double-check you sent the request from the account they intend to share with.
Why does it work for some people but not me? The file is likely shared with specific accounts only. Ask the owner to add your exact email, or to switch General access to Anyone with the link.
Does sharing a folder share everything inside it? Yes — granting access to a folder gives that role to all files within it.
