Excel: Repeat Header Rows on Every Printed Page (Print Titles)

You want your column headings (and maybe row labels) to print at the top of every page, not just the first one.

Why: When a sheet runs past one page, Excel doesn’t repeat your heading row — page 2 onward just shows raw data. Print Titles tells Excel which rows or columns to reprint on each page.

Step 1: Open Print Titles

1. Go to the Page Layout tab.
2. In the Page Setup group, click Print Titles.

This opens the Page Setup dialog on the Sheet tab.

Step 2: Choose the rows (and columns) to repeat

1. In the Rows to repeat at top box, type the row reference — for example $1:$1 for the first row, $1:$2 for the top two rows, or $1:$3 for the top three.
2. (Optional) In the Columns to repeat at left box, type a column reference like $A:$A to repeat row labels down the left side of every page.
3. Click OK.

Prefer to click rather than type? Use the small collapse button at the right of either box, drag across the heading rows or columns on the sheet, then click the button again to return to the dialog.

Step 3: Check it in Print Preview

Open File > Print and page forward. The header row (and any repeat columns) should now appear at the top/left of every page.

FAQ

Print Titles is greyed out and I can’t click it. It’s disabled while you’re editing a cell, when a chart is selected, or when no printer is installed. Press Esc to leave cell-edit mode, click an empty cell to deselect any chart, then try again.

It won’t let me set it — I get an error. You probably have multiple sheets grouped. Print Titles only applies to one sheet at a time, so right-click a sheet tab and choose Ungroup Sheets first.

What’s the difference between this and Freeze Panes? Freeze Panes keeps the header visible while you scroll on screen; it does nothing for printing. Print Titles is the print-only equivalent. Set both if you want headers in both places.
