Word: Print a Document With Comments and Markup, or Hide Them
You want to print a Word document either with its tracked changes and comments shown, or as a clean copy with the markup hidden.
Why: What prints follows the Print Markup setting and what’s on screen. Importantly, hiding markup never deletes it — the changes and comments stay in the file.
Fix 1: Print WITH comments and tracked changes
- Go to File > Print.
- Click the Print All Pages dropdown under Settings.
- Under Document Info, make sure Print Markup has a check mark.
- Print as usual. Insertions, deletions, and comments print as they appear on screen.
For the markup to actually show, the on-screen view must include it: on the Review tab, set the Display for Review box (in the Tracking group) to All Markup.
Fix 2: Print a clean copy WITHOUT markup
Two ways, depending on what you want:
Quick (this print only): In File > Print, open the Print All Pages dropdown and, under Document Info, clear the Print Markup check mark. The changes and comments stay in the file but don’t print.
On screen too: On the Review tab, set Display for Review to No Markup. This hides the markup in the document and on the printout. (It reappears the next time anyone opens the file — it isn’t removed.)
Fix 3: Print only some kinds of markup
To show, say, comments but not formatting changes:
- On the Review tab, click Show Markup.
- Tick or untick the types you want — Comments, Insertions and Deletions, Formatting, and so on. Use Balloons to control whether comments appear in the margin.
- Then print with Print Markup ticked (Fix 1).
FAQ
I cleared Print Markup but comments still print. You likely have a second copy of the markup view turned on, or the wrong dropdown. Confirm Print Markup is unchecked under Document Info in File > Print, and set Display for Review to No Markup as well.
How do I remove changes for good, not just hide them? Accept or reject them: on the Review tab use Accept / Reject, and delete comments via Delete in the Comments group. Then they won’t print or reappear.
The printout shows colored text and strikethroughs I don’t want. Those are tracked changes in All Markup view. Switch Display for Review to No Markup, or clear Print Markup, to print clean text.
