OneNote Notebook Won't Sync? How to Read the Sync Status and Clear the Error
Notes you typed on one device don’t appear on another, or OneNote shows a red sync error icon on a notebook.
Why: OneNote stores notebooks in OneDrive or SharePoint and syncs in the background, so a “sync error” is almost always one of three things underneath: a sign-in/authentication hiccup (“server is busy”), the notebook running out of space, or a dropped connection. The first step is to read the actual error so you fix the right one — the rest is usually a sign-out or a manual sync away.
Fix 1: Read the sync status and force a manual sync
Don’t guess — see what OneNote is actually reporting.
- In OneNote for Windows, go to File > Info and select View Sync Status.
- Each notebook lists its status and any error code. Note anything showing red.
- To force a sync, press Shift+F9 (syncs the current notebook) or click Sync Now in that dialog. On Mac, Control-click the notebook name in the Navigation panel and choose Sync This Notebook.
If a manual sync clears it, you were just offline or briefly disconnected. If the error returns, match it to a fix below.
Fix 2: “Server is busy” or an authentication error — sign out and back in
Despite the wording, “server is busy” errors on notebooks stored in OneDrive or SharePoint are usually authentication problems, not the server being overloaded.
- Sign out of OneNote and sign back in with the account that owns the notebook.
- Close the notebook (File > Settings/Info > Close) and reopen it.
- Confirm you can reach the notebook in a browser at onenote.com with the same account — if the web version syncs but the app doesn’t, it’s a local sign-in mismatch, so signing out and in resolves it.
Fix 3: “Not enough space” — optimize or trim backups
Some sync errors mean a section is too large to upload or the notebook is out of room.
- Go to File > Options > Save & Backup.
- Select Optimize All Files Now to compact the notebook and recover space.
- If it’s still tight, reduce the number of backup copies to keep, or delete old backups in
%localappdata%\Microsoft\OneNote\16.0\Backup.
Fix 4: Close and reopen the notebook cleanly
If one notebook is stuck while others sync fine, re-establishing it from the cloud copy clears the bad local state.
- Go to File > Info, right-click the stuck notebook’s URL, and choose Copy.
- Close that notebook.
- Open it again from onenote.com, then choose Open in Desktop App. OneNote pulls a fresh copy and resumes syncing.
FAQ
Will I lose notes if I close and reopen a notebook? No. Your notes live in the cloud copy; closing a notebook locally just removes it from your list. Reopening pulls everything back. (If you have unsynced changes, sync first or check the backup folder before closing.)
OneNote says “we’re having trouble syncing” but the internet is fine. Open File > Info > View Sync Status for the specific error code. Most often it’s the authentication issue in Fix 2 — sign out and back in.
