Excel: Set a Print Area and Fit a Sheet to One Page
You want to print just part of a worksheet, or stop a sheet from running over onto a second, mostly-empty page.
Why: Excel prints the whole used range by default and breaks it across as many pages as it needs. A print area limits what prints, and scaling shrinks the result to fit a set number of pages.
Step 1: Set the print area
Pick exactly which cells go to the printer.
- Select the cells (one block, or hold Ctrl and click to add more) you want to print.
- Go to Page Layout > Print Area > Set Print Area.
Excel now prints only that range. Each non-adjacent block you selected with Ctrl prints on its own page. The print area is saved with the workbook.
To add to it later, select the new (adjacent) cells and choose Page Layout > Print Area > Add to Print Area. To start over, choose Page Layout > Print Area > Clear Print Area (this clears all print areas on the sheet).
Step 2: Fit the sheet to one page
Now stop it spilling onto extra pages.
The quickest way is the Scale to Fit group on the Page Layout tab:
- Set Width to 1 page.
- Set Height to 1 page (or leave Automatic if you only care about width).
For full control, open the Page Setup dialog instead — click the small launcher arrow at the bottom-right of the Page Layout > Page Setup group, go to the Page tab, and under Scaling choose Fit to 1 page(s) wide by 1 tall, then OK.
You can also do this at print time: File > Print, then under the scaling dropdown (it usually reads No Scaling) choose Fit Sheet on One Page.
FAQ
My text got tiny after fitting to one page. Fitting forces everything onto the page count you set, so a wide sheet shrinks a lot. Set only the Width to 1 page and leave Height on Automatic, or trim the print area in Step 1 so there’s less to shrink.
Can I have more than one print area? Yes. Select the first block, then hold Ctrl and select the others before Set Print Area. Each non-adjacent area prints on a separate page.
How do I see the page breaks before printing? Use View > Page Break Preview to drag the blue break lines, or check File > Print for a live preview.
