How to Move QuickBooks Desktop to a New Computer (Migrator Tool & Manual)

New or replacement PC and you need QuickBooks Desktop on it. There are two supported ways, and which one you use depends on whether the old computer still turns on.

Before you start, get your numbers. You’ll want your License & Product Number either way — recover them with F2 on the old PC while you still can: find your QuickBooks license & product number. (Don’t try to clone activation by copying license files between PCs — it’s unsupported and breaks. Re-activating with your number is the right path.)

Method 1: Migrator Tool — when the old PC still works

Intuit’s built-in Migrator Tool copies QuickBooks and your recent company files to the new PC and downloads the right version there. You need a USB flash drive (it’ll tell you how much space — usually 150–250 MB) and an internet connection on the new PC.

On the OLD computer:

1. File → Utilities → Move QuickBooks to another computer.
2. Click I’m Ready, then create a one-time password (you’ll need it on the new PC).
3. Choose your USB flash drive and let it copy the files.

On the NEW computer:

1. Plug in the USB. It won’t auto-run (Windows security), so open the drive and double-click Move_QuickBooks.bat.
2. Enter the password you created → Let’s go, and wait for it to finish.

What the Migrator moves — and what it doesn’t:

• ✅ QuickBooks Desktop itself + your last 3 opened company files (US 2018 and newer).
• ❌ Company files you haven’t opened recently (move those manually / restore from backup), payroll & payment sign-ins, multi-user hosting config, Intuit Data Protect, and (Enterprise) advanced reports. Re-sign-in to payroll/payments and re-set hosting on the new PC.

Your files stay on the old PC too — the tool copies, it doesn’t erase them.

Method 2: Reinstall & reactivate — when the old PC is dead

No working old PC (or you’d rather do it cleanly):

1. Get a backup of your company file. A recent .qbw backup, or copy the .qbw (plus its .nd/.tlg) off the old drive if you can reach it.
2. Download the installer for your exact version on the new PC — every official Intuit installer is in the QuickBooks download archive, by edition and year.
3. Install, then activate with your License & Product Number when prompted. (Discontinued year? Activation usually still goes through; if not, contact Intuit — see QuickBooks Desktop 2023 discontinued.)
4. Open/restore your company file. Hitting Error 3371 or an activation snag? Reset registration & re-activate.

Finish up

• Uninstall QuickBooks from the old computer once the new one is working — a license is meant for one active machine, and leaving both can trip activation limits.
• Re-enable multi-user hosting on the new server if you run multi-user: see Error H202 and QuickBooksDBXX won’t start.

FAQ

Will I lose data moving it? No — both methods keep your company file intact (Migrator copies it; manual uses a backup). Always make a fresh backup first regardless.

The Migrator Tool only moved some files. By design it carries the 3 most recently opened company files. Move the rest manually (copy the .qbw) or restore them from backup on the new PC.

Do I need to deactivate the old PC first? You don’t have to deactivate, but uninstall QuickBooks from the old machine when you’re done so you’re not running the same license on two active PCs.

Can’t I just copy the activation file over? No — that’s unsupported and breaks licensing. Reinstall and re-activate with your number (recover it via F2); that’s the path Intuit supports.
