Mac Mail Search Not Finding Emails: Reindex and Fix Search
You search in the Mail app on your Mac and it doesn’t find emails you know exist.
Why: Mail search relies on the Spotlight index. If you’re searching the wrong scope, or the index for a mailbox is incomplete, results come up short. Widening the search and refreshing the index fixes it.
Fix 1: Search all mailboxes, not just one
If a mailbox is selected in the sidebar, Mail searches only that mailbox.
- In the sidebar, click All Mailboxes (or click All in the Favorites bar) before you type your search.
- Type your search term and check the results again.
- Confirm the message isn’t hiding in Junk or Trash, which can be excluded from search depending on your settings.
Fix 2: Sync, then rebuild the mailbox
If the message is on the server but not turning up in search, refresh the local copy.
- Make sure the account is online — choose Mailbox > Take All Accounts Online.
- Click the mailbox you’re searching, then choose Mailbox > Synchronize > [account] to pull the latest from the server.
- Still missing? With the mailbox selected, choose Mailbox > Rebuild. This re-downloads the mailbox and is the recommended step when the Entire Message search option can’t find messages. The mailbox may look empty until the rebuild finishes.
Fix 3: Reindex Spotlight so Mail search rebuilds
If search is broken across mailboxes, force Spotlight to reindex.
- Open System Settings, then click Spotlight (on older macOS, Siri & Spotlight).
- Click Spotlight Privacy (older macOS: Search Privacy).
- Click the add button (+) and add your startup disk (Macintosh HD), or drag it into the list. This temporarily blocks it from search.
- Wait a few seconds, select that item in the list, then click the remove button (–).
- Click Done. Spotlight reindexes the disk — including Mail — in the background. This can take a while; let it finish, then try searching again.
FAQ
Why does Mail search miss recent emails? Either you’re searching a single mailbox instead of All Mailboxes, or that mailbox’s local copy is out of date — synchronize or rebuild it (Fix 2).
Does reindexing Spotlight delete my email? No. Reindexing only rebuilds the search index. Your messages aren’t touched.
Reindexing is taking a long time — is that normal? Yes. Spotlight reindexes everything on the disk, which can take a while depending on how much data you have. Leave it running and search once it settles.
